Catering Contract Policies
For Best Western Olympic Inn

1.  All prices are subject to change up to ninety (90) days prior to the confirmed date of the function, in order to meet increasing operation costs.

2.  The Best Western Olympic Inn reserves the right to inspect all private function, prior, during, and after.

3.  The Best Western Olympic Inn is not responsible for the damage of personal property or equipment brought into the Hotel, nor does it accept any responsibility for items left in the function room, before, during, or after the function.

4.  It is agreed to begin the function at its scheduled time, and to have guests and invites vacate the designated function space at the closing hour designated.  Room charges will be based upon the type of function and the length of time deemed necessary for that function.  The Patron agrees to reimburse the Best Western Olympic Inn for any overtime wage payments, other expenses, or damages incurred by the Hotel because of the Patrons failure to comply with this condition.  The Patron further agrees to reimburse the Best Western Olympic Inn for any wear and tear beyond reasonable standards caused by the Patron and/or their invitees.

5.  Equipment needs (if other than provided free of charge by the Best Western Olympic Inn) must be determined prior to the function and are subject to rental charges.

6.  All food and beverage prices are subject to 17% gratuity and 6% CT sales tax.

7.  Unless credit has been established in advance, a $200.00 non–refundable deposit is required to reserve banquet space for your wedding reception.  One half (50%) of your balance is due two weeks prior to the event.  The balance in full is payable three business days prior to the function.  The final payment amount is based on a guaranteed count given to the Sales Office three days prior to the function.

8.  Menu selection, room arrangements, and other details pertaining to the function must be received thirty (30) prior to the function.  The Hotel reserves the right to change function rooms, without notice, at any point in planning.

9.  No food or beverage of any kind will be permitted to be brought into the Best Western Olympic Inn by the Patronor any Patron’s guests, from the outside without special written permission of the Hotel.  The Hotel reserves the right to change for the service of such food or beverage.  Outside food and non–alcoholic beverages not supplied by the Best Western Olympic Inn will result in an additional room rental charge on top of the existing room rental fees.  Fee will be twice the room rental price in the event Best Western Olympic Inn does not provide food and non–alcoholic beverage.  The Best Western Olympic Inn is not responsible for any food borne illnesses, or food and beverage safety standards, or food and beverage quality issues in the event Best Western Olympic Inn is not the preparer of food and non–alcoholic beverage items in which case the Patron or Patron’s guest will not be provided access to a kitchen nor any cutlery, glassware, or tableware of any kind from the Best Western Olympic Inn.  No alcoholic beverages may be brought into the Hotel from the outside under any circumstances.

10.  Any Patron who has chosen a Buffet style menu will not be permitted to leave the premises with any food which has not been consumed within the time frame of the function.

11.  This establishment will not permit the consumption or serving of alcohol to anyone under the age of 21.  The sale and service of alcoholic beverages is strictly regulated by the Connecticut Alcoholic Beverage Commission.  As a licensee, the Best Western Olympic Inn is responsible for these regulations.  No alcoholic beverages may be brought into the Hotel from outside sources.  The Best Western Olympic Inn reserves the right to limit and control the amount of alcoholic beverages consumed by guests.
 
12.  The Patron is responsible for the arrangements and all expenses of shipping materials, merchandise, exhibits, or any items to and from the Hotel.  The Best Western Olympic Inn must be notified in advance of shipping arrangements to insure proper acceptance of these items upon arrival to the Hotel.

13.  The Best Western Olympic Inn reserves the right to utilize any photographs of functions taken before, during, or after the function.

14.  The Best Western Olympic Inn is excused from performance of this contract, at the Hotel’s option and without obligation to Patron for damages if the performance of the Hotel is prevented, substantially interfered or rendered significantly more difficult due to labor troubles, disputes, strikes, government regulations, utility shortages or restrictions on travel, transportation, goods, beverages or suppliers; acts of God, or any other cause, whether specifically mentioned herein or not, beyond the control of the Hotel, which would prevent or substantially interfere with the Best Western Olympic Inn’s performance.

15.  As of the date this document is signed, all arrangements are final.  Any changes will need to be renegotiated and agreed upon by all parties involved.
